1. Who we are

For the purposes of UK data protection law, we are the data controller for the personal data described in this policy.
2. Scope
This policy explains what personal data we collect, why, how we use it, and your rights. It covers two categories of personal data:
- Customer data — information about the businesses and individuals who sign up for and use PlanningPing.
- Planning register data — personal data that appears in publicly available planning-authority records that we monitor (for example, the names of applicants or planning agents, and sometimes site addresses).
3. Customer data we collect
When you sign up for or use the Service, we may collect:
- your name and business name;
- your email address and contact details;
- account credentials and settings (such as the alert criteria and regions you choose);
- usage data about how you interact with the Service (such as log-ins and features used); and
- any messages you send us.
Why we use it and our lawful basis:
- to provide and operate the Service, including sending you alerts you have requested — performance of a contract;
- to communicate with you about the Service, including service updates — legitimate interests and/or performance of a contract;
- to improve and secure the Service — legitimate interests in running and developing our business;
- to send you marketing about PlanningPing where permitted — consent or legitimate interests, and you can opt out at any time; and
- to comply with our legal obligations — legal obligation.
4. Planning register data
The Service monitors publicly available UK planning-authority portals. These public records can contain personal data, such as the names of applicants or agents and site addresses. We collect and process this data to operate the Service — that is, to detect relevant applications, notify our customers, and generate indicative relevance scores.
Our lawful basis for processing this publicly available planning data is our legitimate interests (and our customers' legitimate interests) in monitoring public planning activity for business purposes, balanced against the rights of the individuals concerned. Because this information is published by planning authorities in public registers as part of a transparent statutory process, we consider this processing proportionate. We do not use this data to make decisions producing legal or similarly significant effects about the individuals named in it.

5. How we share data
We do not sell your personal data. We share data only with:
- service providers who help us run the Service (for example, hosting, database, and email-delivery providers), who process data on our behalf under appropriate agreements;
- authorities or third parties where required by law; and
- a successor if we reorganise or transfer the business, subject to this policy.
Some of our service providers may process data outside the UK. Where they do, we take steps to ensure appropriate safeguards are in place as required by UK data protection law.
6. Current service providers (sub-processors)
We use the following providers to deliver the Service:
- Hostinger (hosting / VPS)
- Supabase (database)
- Vercel (application hosting)
- Resend (email delivery)
This list may change as the Service develops.
7. How long we keep data
We keep customer data for as long as you have an account and for a reasonable period afterwards to meet legal, accounting, or operational requirements. We keep planning register data for as long as it is relevant to the alerting and intelligence Service. You can ask us to delete your account data at any time (see Your Rights).
8. How we protect data
We use appropriate technical and organisational measures to protect personal data, including access controls and secure hosting. No system is completely secure, but we take reasonable steps to reduce risk.
9. Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- ask us to correct inaccurate data;
- ask us to delete your data in certain circumstances;
- object to or restrict certain processing (including processing based on legitimate interests);
- withdraw consent where we rely on it; and
- data portability in certain circumstances.

10. Cookies
The Service may use cookies or similar technologies that are necessary for it to function and, where applicable, to understand usage.
11. Changes to this policy
We may update this policy from time to time. We will post the updated version here and, for material changes, give you reasonable notice.
